1. Who we are

Beancruncher ("we", "us") provides financial reporting, valuation, forecasting and bank-statement tools to accounting practices ("firms"). Where a firm uses Beancruncher to process information about its own clients, the firm is the responsible party / data controller and Beancruncher acts as an operator / data processor on the firm's instructions.

2. What we process

Account details of firm users (name, email, contact number); financial data imported from connected accounting platforms (Xero, Sage, QuickBooks) or uploaded (financial statements, trial balances, bank statements); and files clients upload via secure links. We do not sell personal information.

3. Why we process it

To deliver the service — generating reports, valuations, forecasts, converting bank statements, and reconciling data — and to secure and support your account. AI features send the relevant financial content to our AI provider solely to produce your output; it is not used to train third-party models.

4. Security

Data is transmitted over TLS, access is authenticated (including two-factor authentication), secrets and two-factor data are encrypted at rest, and uploaded statements are stored on access-controlled infrastructure. No system is perfectly secure; we work to protect your data using reasonable, industry-standard measures.

5. Retention & your rights

We keep data for as long as your account is active or as needed to provide the service and meet legal obligations, then delete or anonymise it. Subject to law, you may request access to, correction of, or deletion of personal information. Contact your firm first (as the responsible party), or us at the address below.

6. AI features & sub-processors

Some optional features — report commentary, valuation narratives, financial-statement notes, and reading uploaded PDF/Word documents — use a third-party AI provider, Anthropic PBC ("Claude"), as a sub-processor. When you use these features, only the relevant financial content needed for that output is transmitted to Anthropic over an encrypted connection, solely to generate your result, which is returned to you. Anthropic does not use this content to train its models, and we do not sell or share it for advertising. A firm remains the responsible party for having the authority to process its clients' data through these features; AI features are optional and can be left switched off. We may change or add sub-processors to operate the service and will update this policy accordingly.
